[Audio] It is essential that you know where to find information regarding leave policies and the standard operating procedure outlining the details. For this, you must login to www.fnu.ac.fj and click on about FNU. From the dropdown menu, click on corporate governance and select policy repository. This will direct you to another page with all the policies and regulations for the Fiji National University. You may find all leave policies on that page..

[Audio] In this slide, you can see the types of leave entitlements available. We have paid and unpaid leave options. Under paid leave, we have annual leave, sick leave that is inpatient and outpatient. Bereavement leave, special leave, maternity leave, compassionate leave, part-time study leave and industrial attachment leave all come under paid leave. We also have non-paid leave available for certain circumstances that is, leave without pay, Full-Time Study Leave and Industrial Attachment Leave – if remunerated by the industry..

[Audio] Now that we know the available leave entitlements, lets look at the basics of these leaves. In the chart, you can see the leave type, the number of days entitlement per year, the number of days carried forward, the documents required for leave application, when to apply for leave and the department responsible for processing leave. You have 20 days of Annual leave available per year of which you can carry 5 days forward. No documents are required but application must be made 10 working days prior to commencement of leave. There are 10 outpatient sick leave days available of which 7 must be accompanied by sick sheet and 3 non-consecutive days without certificate. The application for outpatient sick leave must be made within 9 consecutive days of returning to work. Up to 240 days can be granted for inpatient sick leave with medical report. There is a 3 day entitlement for Bereavement Leave per year and this be carried forward which means up to 9 days for 3 consecutive years. For special leave, a notice 5 working days in advance of the proposed date of such leave must be provided and can be taken for 15 days..

[Audio] As you can see from the table, 98 consecutive days leave is provided for maternity leave and application must be accompanied by a medical certificate from the doctor prior to commencement of leave. Sabbatical Leave can be take up for 3 to 6 months and must be accompanied by Sabbatical Leave Application Form, a Comprehensive proposal of activities and the Deliverables. For Compassionate Leave, there must be medical certificate of the dependent for whom the leave was taken. Up to 3 days per year can be taken for part-time study leave and should be made 10 working days prior to commencement of the leave. For 5 days of Leave without pay, online application must be made 10 prior to commencement of leave with reasons. Similarly, request for leave of Absence Form must be submitted15 days prior for more than 5 days of Leave Without Pay. Likewise, before commencing on more than 3 months of leave without pay, request for leave of Absence Form must be provided 20 days prior..

[Audio] Full-time study leave can be taken for up to 6 month through Full Time Study leave application, a position cover plan which is to be provided by the Supervisor, a letter of acceptance by the institution for study, a scholarship award letter, confirmation of financial support for the duration of leave, course outline, and an updated CV. Industrial attachment leave must be made 30 days prior to the date of commencement of the leave and can be taken for up to 20 working days in each three-year period of employment. A position cover plan provided by the supervisor, offer letter from the industry of attachment detailing staff's job placement details, manual leave form completed by the staff, and a signed indemnity form..

[Audio] Now lets look at the process of leave application. This slide outlines the responsibility of the employee, the supervisor and the role of HR. The employee must submit leave request and ensure supervisor is aware of leave requested and the reason. Employees can also plan annual leave dates with supervisor during PMP. Further to that, it is the Supervisor's responsibility to approve or decline leave at least 3 days upon receipt of staff's leave request. They must design cover plan and communicate effectively to all staff while protecting the privacy and confidentiality of all staff's personal information. It is the responsibility of HR to process leave applications for staff and effectively communicate any issues relating to leave for staff and supervisor in writing. HR must also provide timely updates to staff through FNUPR on changes in leaves and assist Colleges and relevant HR department's in facilitating the smooth return to work of staff from leave..
