[Audio] What is a Security Guards/Officer? They watch while we sleep and when we go about our day-to-day business. Often the first point of contact for visitors to banks and other protected areas, professional Security Guards safeguard property and people within it against fire, theft, vandalism, terrorism, and other illegal activities by enforcing rules and preventing crime. They keep their eyes peeled and ears wide open while they patrol and inspect the property under their charge and keep surveillance through electronic devices. As new officers to the security field you may not clearly understand the profession that you have entered, and even some experienced officers may find that although they have been carrying out their functions as ordered, they do not have a clear understanding as to what security is. Most professional practitioners in commercial and industrial security will agree that security means protection. "Protection of the Client's plant and property; supplies and equipment; employees and visitors". The organization and its security management will make the policies and regulations, which will guide the security programme depending on the needs of the company. Security officers are the agents who carry out those policies and regulations..

On any given day, a Security Officer may have to perform one or more of the following tasks: Direct hundreds of employees, visitors and vehicles in and out of the company's premises; Give on the spot First Aid to an accident victim who may have been involved in an unfortunate incident on the premises Detain persons suspected of committing an offence on company's premises while at the same time ensuring that proper procedures are carried out to ensure the safety of the person detained. [Audio] Role of the Security Officer as compared to the Police Officer: The average security officer may suppose that because he is given a uniform and (a firearm) when precepted, he has the same power as any Police Officer while on duty, and his job involves mainly catching offenders of the law. These are however misguided ideas. The security officer's job should be seen mainly as one of prevention rather than apprehension. Management would rather see officers preventing thefts, accidents and injuries, fires and disturbances rather than trying to chase a criminal thereby leaving their property unprotected. They would prefer to see an officer taking down a description and/or a license plate number and allow a burglar or trespasser to escape and be apprehended later rather than leaving the property unprotected to chase that person. Security officers should always try to remember that their motto should be "Prevention rather than Apprehension"..

[Audio] Some of the ways in which an Officer can gain respect are as follows: 1. Show respect for yourself and for others 2. Be exemplars to others, abide by the laws, rules and regulations and insist that persons do likewise 3. Always implement the laws, rules and instructions objectively (equally across the board) 4. Be able to assess a situation, analyze it and decide calmly on a plan of action that will resolve the mater in a routine manner 5. Always be alert, as this aids professionalism and is also important for the safety of the officer and for the life and/or property he is paid to protect. Positive attitude: A positive attitude is possibly the most important attribute a security officer can offer a client, especially when the client's business involves dealing with the public. First impressions are usually lasting ones and visitors may be making their first contact through a security officer on duty. This initial contact can be crucial for the client's future business with the company. The security officer who is courteous, well groomed, and is knowledgeable about his/her job can be an asset to the client and to his employer. Public relations, human relations and employee relations become an integral part of the security officer's life when he is on the job..

[Audio] Duties of the Security Officer: Security officers today should be seen as professionals with special knowledge and training. Some of their duties are as follows: To patrol their assigned area thoroughly, being on the alert for anything that may need special attention. To be familiar with the assigned area as this will assist in the early identification of unauthorized persons and objects. To contact the Police, Fire Department, Medical Personnel, and most importantly key persons in the organization should the need arise. To be always on time, cleanly and appropriately dressed, and to remain on their post until properly relieved. To know how to administer First Aid, and be familiar with Fire Prevention and Safety Procedures. To control traffic, detain offenders and question suspects and witnesses where necessary..

[Audio] The Security Officer and the Public Whenever a security officer is performing his duties he is acting as a representative of the employer, of the company's management, its policies and its corporate image. In many instances he is the first representative of the company that a visitor sees. If he looks professional he creates a favorable image for his employer. The officer must be positive at all times. The security officer has several publics (clients), the most important being visitors, employees, media personnel and telephone callers. Visitors The security officer is most often the first representative of a company that a visitor sees, and the impression he makes on that visitor is usually the impression the company makes on such visitor. His words and action must speak for his employer. He should therefore: 1 Greet the visitor with a smile 2. Show a sincere desire to help 3. As far as possible answer the visitor's questions 4. Avoid leaving a visitor with an answer like "-I do not know", try to get the information. In order to do this the officer must have basic information about the company such as, its name, its line of business, the names of top executives and managers, location of the different offices opening and closing hours and if other information is needed, who should be contacted and there extension..

[Audio] Employees Security officers represent the company's management to employees. Their duty is to enforce the company's rules while at the same time not making enemies. Company's policies may require officers to check ID cards and handbags as employees enter and leave the premises. In performing these functions, the officer's is expected to be firm but polite, for example: When asking for compliance with the rules, he must he polite, not provocative. Unusual familiarity can weaken the officer's authority. Never apologize for doing your duty. Never argue with employees. Always let your behavior be an example to others.. The media Never give out any information to reporters, television or radio personnel without management's permission. Most organized companies have their own media representatives to give information. The security officer's job is simply, politely refer the media to the proper person to answer their questions..

[Audio] Telephone Callers In answering the telephone the officer should be courteous and helpful just as though he is dealing face to face with the caller. When answering a call he should say good morning/good evening, give his name and either the company's name or a location; whichever is appropriate. He should then politely answer questions and ensure that messages meet the person for whom they are intended. In dealing with the public therefore, the security officer's behavior should be an asset to the company and to the security profession. Officers are therefore expected to be attentive, courteous, dependable, discreet, impartial, patient and tactful. He should be dressed in the company's uniform, which must be clean and well fitted. He must be cleanly shaven and well trimmed. He must be healthy at all times and must ensure that when he is in contact with people (in person) his breath is not offensive..

[Audio] Gate/Sentry Duty and Entrance Control Gate duty is important in controlling access to and exit from the compound. The duties of the Officers on Gate duty include: Control of entrance into a compound. Control exit from a compound. Prevention of illegal removal of equipment and material from premises. Prevention of unauthorized equipment and material being brought into the area/compound. Recording of persons and/ or vehicles leaving or entering an area/compound. Monitoring of an area to detect problems. Protection of personnel, property and information within a given area..

[Audio] Patrol Duty Patrol is the backbone of our security work and is fundamental to the protection of personnel, property and information on premises. The following are general rules to be carried out by Security Officers, while patrolling: Be constantly alert and observe all activities and situations within sight and hearing. Investigate source of unusual sounds as this may indicate attempt at illegal entry/movement of authorized persons, malfunctioning of equipment or any other potential disruptive problem. Make sure the area, compound, building is secured from intrusion, all gates and other entrances are closed and locked. In interior spaces, check to see that all doors, windows, skylights and vents are locked and secure against intrusion, as well as possible damage from weather. Determine who are authorized and unauthorized visitors..

[Audio] Identify key personnel in each area and report on condition that may affect security. Check to see that all Fire Extinguishers are in a proper place, have easy access to them and that they are in serviceable condition. Be familiar with the layout of the facility. Be acquainted with the location and the location of utility controls. Turn off all lights and other electrical equipment when not in operation. Inspect storage areas of flammable and hazardous materials. [Audio] Traffic Duties The Security Officer will be required to perform the following types of traffic duties: Traffic Control Security will regulate the movement of vehicular and pedestrian traffic in such a manner as to ensure safety of persons on the location. The Security officer is expected to work with occupants to ensure that parked vehicles do not cause any inconvenience to other users of the compound or interfere with access of emergency vehicles to the compound. Traffic Enforcement Security would ensure that there are no violations of locations' rules, or traffic regulations. Traffic Accident Investigation All traffic accidents on the compound must be thoroughly investigated and reported by security to the relevant authority.

[Audio] Random Spot Checks Security is required to prevent the unauthorized removal of equipment or materials from a compound. This necessitates random spot checks on vehicles and bags leaving the compound, building or facilities. Officers should be pleasant and courteous while performing this duty. Security Incident, Logs and Registers Records are the official memory of security; hence the official activities of the Security Officer must be accurately and properly reported and properly recorded in various Security Logs and Registers. [Audio] Authority The chain of command at PSSL are as follows: - Chief Executive Officer - General Managers- Human Resources, Administration - Inspector/ Senior Duty Supervisor - Duty Supervisor - Sergeants - Support Unit - Corporal At every level, authority shall be exercised with firmness and impartiality. Personal attitudes or biases must not influence decisions. The chain of command shall be preserved in order to maintain principles of sound management and administration. Levels of supervision should not be by-passed except under special or unusual circumstances. This is not to discourage communication of problems at the lowest possible level. Personnel are encouraged to pursue any problem through the chain of command until appropriately resolved..

[Audio] Orders 1. Security Officers shall strictly obey and properly carry out any lawful order issued by supervisors. 2. Orders from supervisors to subordinates shall be clear and understandable in language, that is civil in tone, and issued in the pursuit of Company business and any request for clarification should be addressed. 3. Upon receipt of any instructions, conflicting with any previously given instruction, the Officer affected will advise the person issuing the second order of the conflict. The supervisor issuing the second order, may require that the second instruction be carried out and document that fact in the station Diary or Pocket Diary. 4. Failure or deliberate refusal to obey a lawful order and/or the use of abusive language intended to embarrass, degrade or ridicule a supervisor or orders is deemed insubordination and is subject to disciplinary action. An officer shall be considered insubordinate by action, demeanor, or language (verbal or written)..

[Audio] No supervisor shall knowingly issue orders, which would violate any law of Trinidad and Tobago, or Company rules and regulations. 6. Any officer who is given an order that appears to be unjust or contrary to rules and regulations, must first obey the order and may then proceed to appeal by submitting a report, in writing, to the next Senior Supervisor. (Notice of intention to appeal must be given to one's immediate supervisor) Violations of general and special orders shall be considered violations of Company rules and regulations and shall be treated as such for disciplinary purpose if given in writing. 7. All security personnel shall familiarize themselves with the rules and regulations and procedures issued. They shall upon return from any absence, familiarize themselves with all changes that may have taken place during such absence. 8. Security Officers must familiarize themselves with the location assigned and in particular, the high-risk areas of the facilities that they secure..

[Audio] Rules of Service on Location 1. Officers will be required to work shift and must report in and out with the Sentry Officer on desk and make all required reports. 2. The time recorded in the Duty Supervisors' and Arrival Sheets at the desk shall be considered the official work time. 3. All officers will report for duty a half hour (1/2 hour) prior to their assigned tour of duty. All personnel are expected to be punctual, since habitual tardiness shall be deemed neglect of duty. 4. All officers must be at their assigned place of work, fully uniformed, at the rostered time and ready to start work. Unpunctuality shall result in disciplinary action. 5. All officers shall remain on duty at their assigned post until properly relieved or until dismissed by competent authority. Failure to comply would be considered abandoning the post..

[Audio] Officers are not permitted to leave the duty station during working hours for any purpose including getting lunch. Failure to comply would be considered abandoning the command. The only exceptions to this rule will be made when: - An Officer reports off-duty as sick. - In the case of an extreme emergency, that is verified and approved by a supervisor before or after leaving. - Working a double or triple shift, where within an hour the officer must book off and back on the compound from lunch or where the officer is properly relieved or authorized by a supervisor to leave the compound. 7. An officer shall report sick only when suffering from an illness, which prevents proper performance of duties. In cases where an Officer reports sick while on duty, a medical certificate must be produced for the time lost and a certificate of fitness must also be produced signifying that the officer is fit to resume duties. These documents shall be produced twenty-fours (24) before their arrival for the next tour of duty..

[Audio] Officers who exceed sick leave entitlement, and Officers without a chronic ailment but whose pattern of absences due to illness becomes unacceptable, may be discipline, including dismissal whether or not such absences have been medically certified. 9. Days off shall be assigned in accordance with the needs of the department. 10. Whenever a condition exists that is deemed by Management to be of an emergency nature, regular tours of duty may be extended and/ or days off or leaves of absence cancelled. 11. Any change of address or other personal circumstances such as marriage, etc., must be promptly conveyed in writing to the Human Resources Department, through the Assistant Operations Manager or Senior Supervisor. 12. While on duty Security Officers shall be consistently alert, observing everything that takes place within sight or hearing and shall keep vigilant watch for needed security action and service. Sleeping on duty is an extreme violation of this requirement and may result in the termination of the service of the employee..

[Audio] Officers shall be held accountable and must be able to account for occurrences in their defined area during their given shifts. 14. Officers shall not exchange shifts expect with the prior written approval of the Operations Manager. All requests for shift change must be made in writing and signed by both parties. 15. Supervisors may hold inspections as necessary to maintain departments' objective. 21. Any claims for damage to clothing, eyeglasses and other personal equipment incurred during the performance of duty shall be made in writing and processed through the relevant authority. 22. Smoking is not permitted while the Officer is on duty, except during mealtimes and out of public view. 23. Officers must have on their person, their Company Identification Card and Precept while on duty. Officers in plain clothes may wear their Identification cards only if the situation warrants it..

[Audio] Officers are prohibited from entertaining, accommodating or 'liming' with any person in the Security Booth or other areas of a facility. 25. No Officer shall convert to his own use, or for the use of any other person, any money, gifts, property or other items entrusted to him. 26. No Officer shall receive money, gifts, or valuable consideration from any person as an award for services rendered, without the permission of management. 27. Officers are prohibited from performing security duties without Management's written consent at any place where the Company has no business. 28. Officers will pay proper respect to the National Anthem and shall show respect to the National Flag. 29. Officers must respect the National Anthem, arid flag of any nation, and the Flag of the protective Services..

[Audio] Personal Appearance and Dress Code The Security Officer has great impact on the client's and the public's confidence in Pegasus Security Services Limited. In that light, the Company places emphasis on Officers personal appearance while on duty. Personal Grooming Hair This must be neatly trimmed, worn above the ears and shirt collar. It must not be so thick as to interfere with the proper wearing or head dress. It must not be multicolored. Facial Hair Officers must be cleanly shaven. Beards are not permitted. Moustaches can be worn, but they must not extent beyond or below the corner of the mouth. Sideburns extended below the ear lobe or extending to the moustache are not acceptable. Hair must not be worn under the lower lip..

[Audio] Adornments Only wrist- watch, wedding bands, school rings or rings for religious purpose are permitted.. The wearing of tattoo marks is not encouraged. Management reserves the right to determine if a tattoo is offensive and clearance must be sought if there is any question about tattoos. Fingernails must be worn beyond the bulbous tip of the fingers..

[Audio] Uniforms Each Officer is responsible for the securing, repairing, cleaning and maintenance of uniforms assigned. Uniforms must be worn clean and well pressed. Uniforms will be worn neatly. Uniform tops and raincoats will be properly buttoned when worn. Uniform must be worn at all times while on duty. The headdress must be worn outdoors, and at all times whilst on duty. Wearing of the head dress is optional while driving or riding inside a vehicle or sitting. Officers must keep their shoes well polished and shined. Officers are required to wear socks of a solid color of black or dark in color. Batons must be carried once provided. Uniforms must not be worn in parts only.

[Audio] Estate Constables must wear duty badges on the left epaulette. The Uniform must be worn when appearing for Training, Tribunal, Court, Meetings and other official appearances. The sleeves of the uniform must not be rolled-up when worn. Uniforms must not be altered to change the original design. Officers are prohibited from wearing high-heeled shoes and excessive make-cup, multi-color hair dyes in or out of uniform while on duty, except with the permission of Management. Hair should not be lower than nape of the neck. No hanging earring, only one pair of stoppers – not more than one stopper per ear. Only clear or natural nail polish must be worn. No hanging braids. Officers must wear their uniform shirt firmly tucked inside their trousers unless authorized to do otherwise. Officers must wear regulation belt or a two-inch (2") black belt with their uniform..

Officers are prohibited from wearing see-through or close fitting clothes Soft dress pants and long or short sleeve dress shirts are allowed Shirts with prints, or short pants, skirts with slits on the side, or long slits on the front are not allowed..

[Audio] Personal Conduct Officers shall conduct themselves in their private and professional lives in such a manner as to avoid bringing themselves and/or the Company into disrepute. All Officers shall maintain an impartial attitude toward all persons with whom they have contact, regardless of race, creed, or class. Superiors, associates and other persons are to be treated with respect and courtesy at all times. Loyalty to the Company and to associates is an important factor in Company morale and efficiency; therefore, Officers shall maintain full loyalty to the Company and their associates at all times. Stealing from the Company, Client, fellow- officers and other persons is strictly prohibited. Any member of the Security Department found in possession of property belonging to the Company, Client or other persons, and cannot give a satisfactory explanation for said possession shall be subject to disciplinary action, including dismissal. The use of obscene and/or abusive language in the workplace is prohibited..

[Audio] No officer shall wound, threaten, attempt to, or carry out any assault on another officer or other person. All cases of assault and wounding will result in severe disciplinary action being taken against the offender. The use, possession and/or sale of drugs/narcotics or prohibited substances by Officers are strictly forbidden. Officers who have been charged, fined or convicted for possession of narcotics/drug or prohibited substances, will be liable to dismissal. Officers using drugs prescribed by competent medical authority must report to the Supervisor if the drugs are to be taken at the duty station. Officers shall not remain at the duty station beyond their tour of duty unless expressly authorized by a Supervisor. This includes off-duty Officers from other facilities that are not on official business..

[Audio] Officers are prohibited from engaging in the following activities while on duty: Sitting or slouching during patrol or slouching while on sentry or fixed duty. Standing in one area for unnecessarily long periods while on patrol. Gossiping with other persons. Remaining at the desk area unless making an official report or log entry. Playing games. Recreational reading. Improper involvement with any student or other persons. Officers on off-duty must conduct themselves in an orderly manner at all times while on Company controlled facilities and offices, whether or not they are assigned to those facilities or offices..

[Audio] Officers would be disciplined for inciting other persons to behave disorderly . Officers on or off-duty are prohibited from bringing, consuming, possessing or allowing any visitors to them, from bringing and/or consuming illicit spirits on any duty station. Breach in any of the above rules, can result in severe disciplinary action being taken. Any act, conduct, disorder or neglect to the prejudice of good order or discipline, or any other misconduct as a member of the company, shall be deemed an offence..

[Audio] Communications, Reports and Correspondence No Officer shall make false reports or enter or cause to be entered in any department or Company diary, log or report any inaccurate, false or improper information. Forgery and uttering of forged documents is considered a criminal act and is prohibited. Any alteration falsification of Company records/documents with the intent to deceive or defraud the Company will be considered a serious offence. No Officer shall open or tamper with any envelope, documents, mail packet, or box whether sealed or not, entrusted in the custody of Security. It shall be the duty of every Officer to properly report any information regarding security matters, which indicates a need for action or recording by the Operations Department. Offices shall promptly submit such reports as required. Incident reports must be submitted before the Officer "off duty"..

[Audio] Officers on patrol duty, and Sentry Officers when working alone will book themselves into the Station Diary as reporting the status of their post every hour on the hour, from 6:00 pm to 6:00 am. Officers must make their own entries in the Diary. No official record(s) of the Company of Client shall be removed, altered, added to or destroyed except as authorized by competent authority. Client or Company telephones shall not be used for private or personal messages except in a serious emergency matters in which case such use must be recorded in the Officer's Pocket Diary and the Station Diary. It is an offence for Officers to allow other persons to unlawfully use client or company telephones. Officers shall maintain their Pocket Diary in accordance with Standing Order 16 Officers shall maintain the Station Diary in accordance with Standing Order 17.
