MULE. SharePoint Site Updates.

[Audio] Background: A sharepoint site has been set up for the MULE sector. Each of the north america (na) sectors follow the same basic layout. What we want to achieve with the site: Gather info or links to info in one central location so engineers in our sector can go to one central location and find a path to the data that they need. Keep the team updated on major calendar events, all located in one single view. Example: sector and NA due dates for things Move data from personal onedrives up to the site so others have access. Share mule industry information Provide MULE sector training Aid in on-boarding Did you know… section for helpful info for our sector. Example: QTOS, new tribes forming, etc. Enable functions like notifications to ensure folks are getting the most use out of the site as possible Demystify company processes. For example: someone on my team just resigned, who do I need to tell? What do I need to do? Process flows, slas (specific section for the PMO) How the PMO can help: Implement changes / updates from the backlog. John and dorothy to decide how to set this part up. Something easy please!! John to check punch list. Update status on items in the backlog Reach out for clarifications where needed Suggest improvement ideas – how can we make this most useable for people? What info is everyone always looking for, but they cannot find? Examples: links to important HR training, due dates for reviews, etc..

Our MULE sector site is set up with some document libraries There is some content for some sections There are some webparts set up that just need to be added to Some webparts/page sections need to be added (I can demo this) In most cases, John and Erin will have the data that needs to be uploaded, the team should not need to create much content ( ie : Decks, etc.). Its just a matter of getting the right stuff uploaded to the right spot. What would make Erin really happy…if I could forward or send emails to the team and they will enter a backlog item for me! Lots of times I see things in emails, and I am like, “hey, that would be awesome to put on our site!”, but then I forget about it. If I can send it to the PMO team and they can track and work on the item, that would be AMAZING!!.

Create a “Did You Know” or Newsletter type section on the home page. For example: “Did you know that Qualitest has a Quality management system complete templates, etc.” Mule Document Library. This has been started. US E&U Delivery - MULE All - All Documents (sharepoint.com) Mule Leadership Document Library: Info to be used by AM’s and DM’s OnBoarding Checklists. This one is a big one in importance and effort! The goal here is to create a form where each new person to our sector or company will fill out the form once they have completed our onboarding steps. That way, each person has a unique line item and we can track where they are in the process. Einav and the people team created something like this for onboarding. We used it when we were acquired, and it was cool! In this list, for each checklist item, we should embed links to what we want the person to do. For example: review this training. Offboarding forms for supervisors to do…similar to onboarding where folks have a checklist and check when complete and we can see where folks are in the process. FAQ section – what are the most common questions people ask us?! Move backlog to ADO.

Is our team familiar with SharePoint? If yes, can they begin any of these backlog items with minimal technical oversight? If no, what is the best way for the team to learn? How much time does our team have to work on this per week? I would love to have a better version of our site by 1/31/23 that we can continue to iterate on. Is this reasonable? If no, what is a better target date? John/Ann/Dorothy to add to backlog with other items we think that our teams need Let’s plan to go over progress at our weekly PMO check in meeting Speaking of progress… Progress over perfection! This can very much be a work in progress! Each small step forward is a good thing; please do not feel like things need to be perfect out of the gate. Speed to market is important here, NOT perfection! We are not UX designers, we just need something workable and useable for our team. If you were a user, what would you want to see?.
