[Audio] "Email Policy of Government of India" was formulated in October 2014 by MeitY. It lays down the guidelines with respect to the use of e-mail services by all employees of GoI. Only the e-mail services provided by NIC, the Implementing Agency (IA) of the Government of India shall be used for official communications by all organizations except those exempted under clause no 14 of this policy. E-mail can be used as part of the electronic file processing in Government of India. The objective of this policy is to ensure secure access and usage of Government of India e-mail services by its users. Types & Format of Email Accounts. Designation based ID Designation based ID is recommended for officers dealing with the public. Users shall hand over the designation-based id to their successor prior to moving out of the office Name based ID User can continue to use the name-based id assigned to them on the Government e-mail service during their entire tenure in GoI. User who resigns or superannuate after rendering at least 20 years of service shall be allowed to retain the e-mail address userid@gov.in for one year post resignation or superannuation. Subsequently, a new e-mail address with the same user id but with a different domain address would be provided by the IA for their entire life. It is expected that within one year, users shall change the e-mail address at all places as required by them. During this one year, if the name-based account is not used for a period of 90 days, the account shall be deleted and no request for activation shall be accepted by the IA..
